Scheduling Interviews

Scheduling Interviews

So you've found some promising applicants – fantastic! Now it's time to bring them in for a chat. Tacoter helps you manage your applications, but we don't automatically book interview times for you. This guide will walk you through the simple steps to schedule interviews and keep your team in the loop.

Step-by-Step Interview Scheduling

Here's how to manage your interview process smoothly with Tacoter:

  1. Review Applications and Shortlist First things first, go to your Dashboard at tacoter.com/dashboard. Navigate to the Applicants section. Look through the applications for your open positions. When you find someone who looks like a good fit, move them to the 'Shortlisted' status. This helps you keep track of who you're considering.
  2. Change Applicant Status to 'Interview' Once you've shortlisted an applicant, it's time to mark them for an interview.
  3. From the Applicants list, click on the applicant's name to view their full application.
  4. Find the Status dropdown menu (usually near the top of the application details).
  5. Select 'Interview' from the options.
  6. [[screenshot: Applicant detail view with status dropdown highlighted]] This is important because it updates the applicant's status in Tacoter, letting your team know this person is now in the interview stage.
  7. Contact the Applicant Tacoter doesn't make the call for you, so it's time for some direct communication!
  8. Look for the applicant's phone number and email address directly on their application within Tacoter.
  9. Reach out to them by phone or email to discuss a suitable interview time and date.
  10. Be clear about the position, location, and approximately how long the interview will take.
  11. Add to Your Calendar Once you and the applicant have agreed on a time, immediately add it to your personal or business calendar.
  12. You can check your existing commitments on your Dashboard Calendar at tacoter.com/dashboard/calendar to find available slots before contacting the applicant. This calendar shows your busy days and helps you avoid conflicts.
  13. Remember, Tacoter's calendar helps you see your availability, but it doesn't automatically schedule the interview on the applicant's calendar.
  14. Conduct the Interview You're all set! Meet your potential new team member.
  15. Update Applicant Status After Interview After the interview, head back to the applicant's profile in Tacoter:
  16. If they're a great fit, update their Status to 'Hired'.
  17. If they're not the right match at this time, update their Status to 'Rejected'. This keeps your records tidy and your hiring pipeline clear.

Interview Tips

  • For Kitchen Staff: Focus on practical skills. Consider a short stage (trial shift) if applicable, or ask scenario-based questions about food safety, speed, and handling pressure during peak hours.
  • For Front-of-House Staff: Emphasize customer service, problem-solving, and teamwork. Ask about their experience handling difficult customers or busy shifts with a positive attitude.
  • Bilingual Interviews: If your restaurant serves a diverse clientele, conducting portions of the interview in a second language can be crucial. This assesses not just fluency, but also cultural understanding and the ability to connect with all your customers. Make sure you have a team member who can help translate if you're not fluent.
